Artemis Intelligence Privacy & Data Transparency Policy

1. Our Commitment

At M.G. Artemis Industries Ltd., we are committed to the responsible, secure, and ethical use of data across all our products, services, and partnerships. As a Cyprus-based innovation firm engaged in research, AI-driven software development, training, and consulting for both public and private sectors, we strictly adhere to the EU General Data Protection Regulation (GDPR) and the EU Artificial Intelligence Act (AI Act).

We ensure that every data-driven activity—whether in AI-powered applications, productivity platforms, educational tools, or research projects—upholds transparency, fairness, accountability, and user trust.

2. Purpose of Data Collection

Artemis collects and processes both personal and non-personal data solely for legitimate business and operational purposes, including but not limited to:

  1. Delivering, maintaining, and improving all Artemis products and services, such as AI-enabled tools, learning platforms, dashboards, and analytics systems.

  2. Providing training, workshops, educational programs, and research projects with academic, industry, or government partners.

  3. Enhancing product performance, usability, and personalization, including usage analytics, system diagnostics, and feature optimization.

  4. Supporting customer service, technical assistance, and user communication (e.g., creating accounts, sending updates, handling support tickets).

  5. Conducting business operations, innovation activities, marketing analysis, and partnership development aligned with our corporate mission.

  6. Ensuring security, fraud prevention, and system integrity across all Artemis digital infrastructures.

  7. Complying with legal, regulatory, and contractual obligations, including those arising from EU- or nationally funded programs.

  8. We collect only what is necessary for these specific purposes and never sell or share user data for profit.

3. Data Collection & Use

We may collect the following types of data depending on the product or service used:

  1. Personal Information: Name, email address, contact details, organization, position, and communication records.

  2. Usage Data: Login times, browser type, device identifiers, IP addresses, session durations, and feature usage statistics to improve system reliability and user experience.

  3. Content Data: Inputs voluntarily provided by users. If AI services are used, such content may be transmitted securely to our cloud provider (e.g., Microsoft Azure OpenAI) to generate results or recommendations.

  4. Technical and Diagnostic Data: Logs, error reports, and performance metrics used for security monitoring and service improvement.

  5. All collected data is used strictly for service delivery, product improvement, analytics, support, and compliance purposes.

4. Data Storage & Security

Artemis employs robust technical and organizational measures to protect all data we handle:

  1. Data is stored securely on encrypted cloud infrastructure, primarily hosted within the European Union or trusted international data centers such as Microsoft Azure, Cloudflare, and MongoDB.

  2. We use encryption at rest and in transit, access control, and multi-factor authentication to safeguard data.

  3. Access to customer data is limited to authorized personnel bound by confidentiality agreements.

  4. Regular audits, risk assessments, and system updates are conducted to maintain compliance with GDPR and cybersecurity best practices.

5. Sharing & Third Parties

Artemis does not sell or rent personal data. However, certain data may be processed by trusted third parties strictly for operational purposes, including:

  1. Cloud and infrastructure providers (e.g., Microsoft Azure) for hosting and AI computation.

  2. Analytics or communication tools (e.g., Google Analytics, email delivery services) to monitor system performance and send legitimate updates.

  3. Research or consortium partners, under formal Data Processing Agreements (DPAs), for project-specific collaborations.

All third parties are contractually obligated to implement data-protection safeguards equivalent to Artemis’s own standards.

6. Legal Basis for Processing

Artemis processes data under the lawful bases defined in Article 6 of the GDPR:

  1. Consent: When individuals voluntarily provide personal data (e.g., for newsletters or user registration).

  2. Contractual necessity: When data is required to deliver services or fulfill obligations under agreements.

  3. Legal compliance: To meet obligations under applicable law, including EU or grant-related requirements.

  4. Legitimate interest: To improve products, ensure security, or advance Artemis’s innovation goals, without overriding individual rights.

7. User Rights & Compliance

We comply with all applicable data protection laws, including GDPR, CCPA, and other relevant frameworks. As a data subject, you have the right to:

  1. Access and obtain a copy of your personal data.

  2. Correct inaccuracies or incomplete data.

  3. Request deletion (“right to be forgotten”) or restriction of processing.

  4. Object to processing or withdraw consent at any time.

  5. Request data portability for information you have provided to us.

To exercise these rights or raise privacy concerns, contact us at privacy@artemisindustries.tech. We will respond to verified requests within a reasonable period, in compliance with GDPR Article 12.

8. Data Minimization, Retention & Deletion

We retain personal data only for as long as necessary to fulfill the purpose for which it was collected or as required by law or contract. After a project or subscription ends, data is securely deleted or anonymized within 90 days, unless retention is required for legal, auditing, or backup purposes. We regularly review data repositories to ensure outdated information is securely disposed of.

9. Transparency in AI Use

Whenever Artemis products or research activities involve artificial intelligence, we commit to the following:

  1. Users are clearly informed when they interact with or are evaluated by an AI-based system.

  2. AI components include human oversight and are designed to support—not replace—human decision-making.

  3. All AI outputs (e.g., reports, recommendations, or summaries) are labeled as AI-generated.

  4. Models undergo risk assessment, validation, and bias testing consistent with the EU AI Act’s risk-based framework.

  5. AI systems used by Artemis are classified as limited-risk and subject to ongoing review.

10. International Data Transfers

If data is transferred outside the European Economic Area (EEA), such transfers occur only when adequate safeguards exist—such as Standard Contractual Clauses (SCCs), EU adequacy decisions, or equivalent legal instruments ensuring GDPR-level protection.

11. Updates to This Policy

This Privacy Policy may be updated periodically to reflect technological, legal, or operational changes. We will post the updated version on our website with a revised “Last Updated” date and, when required, notify users of significant changes. Continued use of our services after such updates constitutes acceptance of the revised policy.
